Driver qualification file questions

What is a driver qualification file?
A driver qualification file is the set of records 49 CFR Part 391 requires a motor carrier to keep for every driver it employs. It proves the driver was qualified when you put them behind the wheel and that you have kept checking since. An investigator will ask for it first in an audit.
How long do I have to keep a driver qualification file?
For as long as the driver is employed, plus three years after they leave. Some underlying records have their own retention clocks, so the safest practice is to keep the whole file intact for the full three years rather than pruning it document by document.
What does DOT compliance software actually do?
It replaces the folder and the spreadsheet. What happens if a document expires?
You get an alert before it does, on a schedule you set. An expired medical certificate or a missed annual MVR is among the most commonly cited violations in a DOT audit, and both are entirely preventable with a date and a reminder.
Do you handle drivers who are not CDL holders?
Yes. Part 391 applies to drivers of commercial motor vehicles whether or not a CDL is required, and non-CDL drivers still need a qualification file. The conditional items simply do not apply to them.
