DOT compliance software

DOT compliance is five rulebooks. Four of them live here.

Driver files, drug and alcohol testing, truck and trailer inspections, and every MCS-150, UCR, IRP and IFTA deadline, on one dashboard that warns you before something lapses. Hours of service stays on your ELD.

From $19 a month. 7-day free trial.

What an investigator reviews

Every rulebook, and who handles it

Driver qualification

Part 391

The rule: A qualification file for every driver: application, MVRs, road test, medical certificate, and an MVR review every 12 months.

FleetCollect: Each record tracked against its driver. Expiration dates are read off the uploaded document, and alerts go out before the 12-month clock runs out.

DQF software

Drug and alcohol testing

Part 382

The rule: Pre-employment testing, a random pool, Clearinghouse queries before hire and every year, and records kept in a separate secure file.

FleetCollect: A DOT consortium run for you: FMCSA random selections, nationwide collection sites, MRO review, and Clearinghouse queries. From $8 per driver per month.

Consortium

Inspection and maintenance

Part 396

The rule: An annual inspection on every truck and trailer, driver vehicle inspection reports kept 3 months, and maintenance records kept 1 year and for 6 months after the vehicle leaves your control.

FleetCollect: Each unit carries its own annual-inspection clock and preventive-maintenance schedule, with documents stored on the unit.

Company filings

Part 390 + state

The rule: MCS-150 update every 24 months, in the month set by your DOT number’s last digit. UCR every year. IRP renewal. IFTA every quarter.

FleetCollect: Your MCS-150 due date worked out from your DOT number, UCR and IRP renewals tracked with reminders, and IFTA miles logged by GPS in the driver app.

IFTA tracking

Hours of service

Part 395

The rule: Duty status recorded on a registered ELD for most interstate drivers.

Your ELD: Not ours. Keep the ELD you already have. FleetCollect handles everything around it.

The night before the audit, with and without it

Folders and a spreadsheet

  • Digging for a driver’s medical card that expired in March
  • Finding out the annual MVR review was never signed
  • Calling the shop for last year’s trailer inspection
  • Checking which year your MCS-150 was due

FleetCollect

  • The medical card flagged weeks before it lapsed
  • Each annual review dated, signed and on file
  • Every unit’s inspection stored on the unit
  • One export per driver, plus equipment, in the order an investigator reads it

DOT compliance software questions

What is DOT compliance software?
Software that keeps the records the Federal Motor Carrier Safety Regulations require, and tells you before one lapses. For a motor carrier that means driver qualification files (Part 391), drug and alcohol testing records (Part 382), vehicle inspection and maintenance records (Part 396), and recurring company filings such as the MCS-150, UCR, IRP and IFTA.
Does FleetCollect replace my ELD?
No. Hours of service under Part 395 is recorded on your ELD and stays there. FleetCollect covers the other compliance areas an investigator reviews: driver files, drug and alcohol testing, vehicles, and filings.
How much does DOT compliance software cost?
FleetCollect starts at $19 a month for one driver, $39 for 2 to 5, $59 for 6 to 10, and $7 per driver per month from 11 drivers up. Annual billing saves 20%. Drug and alcohol consortium enrollment is separate, from $8 per driver per month.
When is my MCS-150 due?
Every 24 months, by the last day of the month matching the last digit of your USDOT number: 1 is January, 9 is September, 0 is October. The next-to-last digit decides the year: odd numbers file in odd years, even numbers in even years (49 CFR 390.19). Missing it can deactivate your USDOT number.
What records does a DOT auditor ask for?
Expect requests across the same areas: driver qualification files, drug and alcohol testing records, hours of service, and vehicle inspection and maintenance records. With FleetCollect you produce a single audit export per driver, plus equipment, instead of assembling folders the night before.
